Finding Attachments

While searching through the Legacy Tobacco Documents Library, you may encounter documents such as e-mail messages that reference attachments by name or by description. The search tips below offer some guidance in locating these referenced attachments.

Original Document with Referenced Attachments

Tip #1 - Use a Wildcard Search Back to top
Look for documents with "close" Bates numbers by using a wildcard search. The Bates number of the original document is 528482365 - a search for 52848236* yields three documents. The first two are the attachments and the third is the original e-mail document.

Tip #2 - Utilize Duplicates Back to top
Look for other copies of the same original e-mail document then search for documents with Bates numbers "close" to the duplicate(s) - see Tip 1 above.

Tip #3 - Search for Attachments by Title instead of File Name Back to top
For example, the e-mail message above refers to an attachment called a "consent form," which is referenced in the document by the file name "9830CO.doc." Searching on the term "consent form" as a title may be more helpful than searching on "9830CO.doc". Combine the title with a document date (dd:) or author (au:), if mentioned, for a more precise search. Any information you can glean from the original document about the attachment, such as date, possible author, or subject/topic, will help you find the attachment.

Tip #4 - Search by "Other Number" Back to top
If the original document record contains an Other Number field, try a search on that number. This will find other documents with the same Other Number which may lead to the referenced attachment.

Tip #5 - Use the Master Bates Range -

If a search on the document title is not producing results or producing only copies of the original email document:
  • Do a search on the document title using Long Display
  • Look for a multi-page document in the Master Bates field
  • Use this Bates to do a wildcard search on "close" Bates numbers (see Tip 1)

For example, this e-mail refers to an attached document with the title "UK Presentation.ppt":

If you search for the title "uk presentation.ppt," you will find that most of the documents retrieved are one-page email messages similar to the original document above. But, if you look at the Master Bates field for each record, at least one of the results shows a multi-page master bates range (2074467866 / 7898) indicating the document is part of a larger grouping of documents.
